Vail & Beaver Creek Wedding Transportation

Your mountain wedding deserves transportation as polished as the celebration itself. Black Diamond Cars provides wedding transportation across Vail, Beaver Creek, Bachelor Gulch and Arrowhead — every vehicle, every pickup and every drop-off coordinated so the day runs without anyone watching the clock.

We work directly with your planner or venue coordinator to build a transport timeline around your schedule, not around ours. Cadillac Escalade ESVs and GMC Yukon XL Denalis for the wedding party, Mercedes-Benz Sprinter vans for guests, and as many of each as the day requires.

How We Work With Planners

We build the timelineSend us the schedule and hotel list; we work backwards from ceremony time and return a vehicle-by-vehicle plan with buffers built in.
We size the fleetGuest count, hotel spread and venue loading zones decide how many vehicles and which type — not a guess made on the day.
We stay in contactYour coordinator has a direct line to dispatch and to each driver throughout the day, with live updates on every movement.

Wedding Day Timeline

  • Rehearsal dayGuest pickups to the rehearsal dinner venue, with return transport afterwards — usually the run that reveals any timing problems before they matter.
  • Morning ofBridal party to hair and makeup, then to the getting-ready location. Vehicles held on site rather than dispatched and recalled.
  • Guests to ceremonyHotel-by-hotel pickups on a staggered schedule so everyone arrives inside the same window, not in one crush.
  • Ceremony to receptionWedding party first, guests in waves. Where the venue is on the mountain, we coordinate with gondola operations.
  • Rolling departuresContinuous returns from the end of dinner onwards, so nobody is stranded and nobody has to leave early.
  • Day afterAirport transfers for departing guests and a brunch shuttle if you are hosting one.

Guest Airport Transfers

We coordinate group arrivals and departures from Denver International (DIA) and Eagle County (EGE), bundled with your wedding package at preferred rates. Guests flying in across a single afternoon can be met and delivered on a shared schedule; those arriving separately get their own transfer with flight tracking.

Winter Weddings

A Colorado winter wedding is spectacular and entirely manageable with the right preparation. Every vehicle carries dedicated winter tires from November through April, our chauffeurs drive these roads daily, and every timeline we build includes weather buffers. We keep backup vehicles on standby for wedding days and stay in live contact with your coordinator if conditions change.

Wedding Transportation — FAQ

How far in advance should we book wedding transportation?

Three to six months for peak dates — summer weekends and the winter holidays go first. Later bookings are often possible, but the choice of vehicles narrows. A deposit holds the fleet for your date.

How many vehicles do we need?

It depends on guest count and how spread out the hotels are. A Sprinter carries 14, so 100 guests from two hotels is a very different plan from 100 guests across six. Send us the list and we will size it properly.

Do you work with our wedding planner?

Always — most of our wedding work comes through planners and venue coordinators. They get a written vehicle plan in advance and a direct line to dispatch and drivers on the day.

Can you access gated venues like Beaver Creek and Bachelor Gulch?

Yes. Every vehicle is pre-authorised at the gate before the day, so no part of the timeline depends on sorting out access at a checkpoint.

What happens if it snows?

Every timeline we build has weather buffers, all vehicles run winter tires from November through April, and we keep backup vehicles on standby for wedding days. Your coordinator hears from us before you have to ask.

Can guests be picked up from the airport as part of the package?

Yes — group transfers from Denver or Eagle can be bundled with the wedding at preferred rates, with flight tracking for guests arriving separately.
