Booking Black Diamond — online/phone & flight-wait policy

Whether you book online or by phone, the process is simple when you have a few key details ready. This page explains what information we’ll ask for, how our flight-wait policy works at Denver International Airport (DIA), Eagle-Vail Airport (EGE), and Vail FBO, and how changes, cancellations, and pricing are handled.

What you’ll need to book (checklist)

When you reserve with Black Diamond — either online through the Book Now page or by calling (970) 261-6509 — it helps to have the following details ready:

  • Route & date/time
    For example, “DIA → Vail” or “EGE → Beaver Creek”, one-way or round trip, with your preferred pickup time.
  • Pickup & drop-off addresses
    Hotel, condo, or private residence, plus any gate codes, valet notes, or building instructions your driver should know.
  • Flight number
    For arrivals and departures at DIA, EGE, or Vail FBO, so we can track timing and adjust staging.
  • Party size and child seats
    Total passenger count and any child seats needed (rear-facing, forward-facing, booster), with ages/approximate weights.
  • Gear counts
    How many ski/board bags, boot packs, strollers, or oversized items you’ll bring, so we match the right vehicle.
  • Vehicle preference
    Cadillac Escalade ESV, 2023 GMC Yukon XL Denali, or Mercedes-Benz Sprinter — we’ll confirm availability for your dates.
  • Service format
    Point-to-point (for direct transfers) or hourly / as-directed (for multiple stops, dinners, events, or flexible schedules).
  • Contact phone for day-of texts
    A mobile number we can text on the travel day with driver details, arrival notices, and any timing updates.

Flight-wait & delay policy (DIA/EGE/FBO)

Our team uses your flight number to monitor published arrival times and adjust vehicle staging at DIA, EGE, and Vail Valley Jet Center. Here is how complimentary wait time and delays are handled:

  • DIA & EGE arrivals
    Up to 60 minutes of complimentary wait time from your actual flight arrival. After that, additional wait is billed at an hourly standby rate (typically $89–$99/hour for SUVs and $129–$149/hour for Mercedes-Benz Sprinter vans).
  • Hotel & private residence pickups
    Up to 20 minutes of complimentary wait time from the originally scheduled pickup time, then the same hourly standby rates apply if additional time is used.
  • Vail Valley Private Jet Center (FBO)
    Up to 60 minutes of complimentary wait time from the scheduled arrival time. Additional wait is charged at the standard hourly rates; for trips hired by the hour, extra wait or drive time is billed as additional hourly time.
  • Missed / significantly delayed flights
    We track flights before sending your vehicle. For missed flights or delays over about an hour, call Customer Service as soon as possible so we can reschedule. We’ll do our best to adjust, but availability can’t be guaranteed if the reservation changes within 48 hours of pickup.
  • No-shows
    If there is no contact with Customer Service or your driver within 60 minutes of a domestic or international flight’s arrival — and no alternate instructions are provided — the trip is treated as a “No Show” and charged in full with no refund.

Changes, cancellations & payments

  • Change requests
    Time, route, or vehicle changes are handled subject to availability. The earlier you contact us, the easier it is to adjust; once you are inside 48 hours of the scheduled pickup time, changes are not guaranteed and may be treated as cancellations if we cannot accommodate the new plan.
  • Cancellations
    Reservations cancelled more than 48 hours before the scheduled pickup time receive a full refund. Cancellations less than 48 hours before pickup — for any reason, including flight cancellations — are charged in full with no refund.
  • Payment
    Quotes are provided in advance so you know the total before you travel. A standard gratuity is included in the quoted price, and any applicable surcharges (such as late-night or FBO fees) are clearly itemized. Your confirmation email will show the total, including all taxes, fees, and gratuity.
  • Receipts
    A receipt can be emailed automatically after your trip or provided on request for expense reports and accounting.

Pricing guide

Typical one-way totals across routes fall roughly in the $250–$1,400 range per private vehicle, depending on distance, time of year, vehicle type, and any added services (such as multiple stops or hourly use). Your quote includes the base fare, standard gratuity, and any applicable surcharges so you can see the full cost up front.
